ICS is Hiring Again! Bilingual Paralegal/Outreach Assistant

OPEN:  Paralegal/Outreach Assistant Position
 Immigration Counseling Service (ICS) provides affordable immigration legal services and free informational forums in the Portland and Hood River areas.
 
JOB TITLE:  Paralegal/Outreach Assistant

JOB PURPOSE:  To provide administrative and case support to legal workers, to provide general office support and backup, and to provide administrative support for outreach and development. 

ESSENTIAL FUNCTIONS, RESPONSIBILITIES AND DUTIES

Primary Legal Assistant Responsibilities and Duties (Four days per week):
Client Communication.  Duties include client contact and follow up, including drafting written correspondence to clients (in Spanish and English), and communicating with clients by phone on a wide array of issues regarding their cases.
  • Front Office Client Administrative Support.  Duties include pulling files and assisting the client coordinator with call up, opening and closing files; confirming appointments; providing backup answering phones and assisting clients while the Client Coordinator is busy or absent.
  • Case Support.  Duties include processing records requests, translating documents, writing contact and decline letters, closing files, and processing online Change of Addresses (COAs/AR-11s.  Other case support duties may include:
  • Reviewing final USCIS case applications and ensuring all details are correct and necessary information is provided and accurate;
  • Processing DS 260s, including checking that information is provided and accurate, identifying incorrect or missing information for legal worker follow up, and entering information into online DS260 database
  • Preparing consular prep packets and scheduling the foreign location of the packets; scheduling fingerprint appointments for clients residing abroad
  • Processing biometrics
  • Document Management.  Duties include processing the File Away, Pull File & Call Up and Mail Copy to Client bins, copying and prepping for mail, processing mail after the post office, scanning and shredding.
  • Printing and Copying.  Duties include printing new mailing labels and copying public hand outs. 
Primary Outreach Administrative Assistant Duties (One to two days per week):
Provide outreach backup support to Executive Director on Development and Outreach:  Duties include but are not limited to responsibility for input and tracking of donors in donor database; input and tracking of outreach events and data; helping to schedule outreach events; gathering and reporting data for grants;  executing messaging including publicity such as blog posts, updating the office Facebook account, copying and distributing agency-wide messaging to community partners, assisting with office newsletter, and helping to screen and schedule volunteers.

QUALIFICATIONS

 Minimum: 
Experience working with diverse cultures and underserved and underrepresented communities
  • Experience as a collaborative team player in a busy office setting, who is a quick learner and invites feedback
  • Demonstrates high level of professionalism and courteousness at all times.
  • Demonstrates a strong work ethic, including punctuality and dependability
Desired:
  • Some experience with immigration law
  • Experience in a non-profit organization providing high-volume services
  • Desire to help the immigrant community
 SKILLS

 Minimum:
Fluency in written and spoken Spanish (a written and oral exam may be required)
  • Excellent customer service skills
  • Strong written and spoken communication skills
  • Strong organizational skills with demonstrated ability to multi-task
  • Strong typing skills with ability to type with accuracy approximately 90 WPM
  • Basic computer skills (Word processing, email), and ability to write using proper grammar and spelling; Demonstrated experience with Microsoft Office
Desired: 

 Excellent computer literacy skills
OTHER REQUIREMENTS

The position may require occasional driving of a motor vehicle, which requires a valid Oregon driver’s license.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:  May require evening or weekend work; working with challenging clients; driving to centers where clients are located; may spend up to 7 hours per day using a computer (sit or stand), including keyboard and mouse, and using telephone; occasional lifting boxes of files or packages weighing up to 25 pounds.

This is a NON-EXEMPT, Bargaining Unit Position

NUMBER OF EMPLOYEES SUPERVISED BY THIS POSITION: None

SALARY AND BENEFITS:  Salary commensurate with experience.  ICS offers an excellent benefits package.
